Why switch

Sound familiar?

Money and stock move all day, from your operator, through your FSEs, to your retailers. Keeping track in notebooks and Excel is where things slip.

  • Every evening, someone re-types the operator’s reports into Excel.

  • Nobody knows how much cash each FSE is holding until there’s a shortfall.

  • Retailer dues live in notebooks and WhatsApp chats, so “I already paid” becomes an argument.

  • “I paid into your bank.” Did the money actually arrive?

  • How many SIMs are your FSEs carrying right now? Nobody can say for sure.

  • Entries get changed, and nobody knows who changed them, or why.

aCashbook puts all of it in one live book.

What it is

A cash book, ledger, billing and stock app built for telecom distributors in India.

Who uses it

You, your office staff and your FSEs, each with their own sign-in. Retailers get the PDF invoices and receipts you share.

What it replaces

Re-typed reports, dues in notebooks, cash handed over on trust, and stock counted on paper.

Features

Built around the way telecom distribution works.

LAPU recharge balance, auto-refill sales, FSE cash and SIM stock are part of the app, not workarounds.

Operator Sync

Tap Sync. Close the day.

Pick the dates and tap Sync. In a couple of minutes your operator’s auto-refill sales are in your books, each one against the right retailer. Depending on your operator, FSE stock transfers and digital payments arrive too. Retailer dues, stock and your dashboard follow.

Auto-refill is your operator refilling a retailer’s LAPU (recharge) balance. Each refill is a sale for you.

  • One run covers up to 15 days.
  • Nothing is counted twice. Anything already in your books is skipped.
  • New retailers and FSEs are added for you, and each retailer is linked to its FSE.
  • One line tells you what came in. If anything is missing, it says how many and why.
  • Already have your operator’s report? Upload the Excel file instead.

Available for most major operators. The owner starts a sync, and everyone sees the results.

Money control

Know where every rupee is.

Follow every payment from the retailer to your cash book: still with the retailer, with an FSE, waiting for your bank check, or in your office.

  • Receipts

Cash, UPI or bank: every payment gets a number, a mode, a name and a PDF receipt to share.

  • FSE cash

Cash an FSE collects stays against that FSE until you record the handover. Collect All settles it in one tap.

  • Pending Bank

Payments into your bank wait until you check them. Accept many at once, or reject one with a remark and the due goes back up.

  • Retailer dues

Every retailer’s balance, highest first, with a running ledger you can share as an Excel file.

  • Cash on Hand

Cash receipts and FSE handovers add to it. Every other change carries a note.

Sales and invoices

GST-ready invoices, split for you.

Pick the retailer, add the items and save. aCashbook works out CGST and SGST, or IGST for a retailer in another state, lowers your stock, raises the retailer’s due and makes a PDF tax invoice to print or share, for example on WhatsApp.

  • See the available stock as you bill.
  • Save as a draft to finish later. Stock and dues change only when you save.
  • Saved sales are locked. Mistakes are cancelled, and the record stays.
  • Your own number series, with the prefix, suffix and next number you choose.
  • FSEs can bill on the spot from the stock they carry.

Stock

Know where your stock is.

SIMs, devices and LAPU balance, counted by quantity from purchase to FSE to retailer.

  • Purchases add stock and sales take it out. Every movement is in the Qty Ledger.
  • Transfer stock to FSEs and see exactly what each one is carrying.
  • Stock coming back? Reverse it to main stock in a couple of taps.
  • Every adjustment has a reason: damage, loss, found items or opening stock.
  • Your stock’s value at purchase price, on the dashboard.

How it works

Up and running, with our team’s help.

There’s no sign-up form and nothing to set up alone. Here’s how you start.

  1. Request a demo

Email us. We’ll show you aCashbook and answer your questions.

  2. We set up your account

Our team registers your business with your GSTIN, address and operator. You sign in with your mobile number and an OTP.

  3. Bring in your lists

Add your products, retailers, vendors and FSEs, or upload them with our Excel templates. Your product list can be loaded for you. Opening stock and cash go in as entries.

  4. Run your day

Tap Sync, bill and collect, check bank payments and record FSE handovers. Your dashboard shows where everything stands.

Benefits

Built for everyone on your team.

You decide. Your office staff and FSEs make it a habit. Your retailers see the difference in what they receive.

For you, the owner

  • No evening re-typing. Tap Sync and read the result.
  • See every retailer’s dues and every FSE’s cash, wherever you are.
  • Hand over the work, not the control: locked sales, reasons, and a record of who did what.

For your office staff

  • The GST split is done for them, with available stock shown as they bill.
  • The daily bank check in one go: accept or reject many payments at once.
  • Retailer statements and month-end Excel files in a few taps.

For your FSEs

  • Bill and record collections at the shop, on their own phone.
  • Their cash, their retailers’ dues and their stock, without calling the office.
  • A numbered record of every cash handover.

For your retailers

  • A GST-ready tax invoice for every purchase.
  • A PDF receipt for every payment you record.
  • A clear statement when they ask what they owe.

Retailers don’t need the app. You share the documents from your phone.

A day with aCashbook

  1. Morning

Open Pending Bank, tick the payments you can see in your bank and tap Accept. Check who owes the most.

  2. During the day

FSEs bill from the stock they carry, record collections and share the PDF receipt before they leave the shop.

  3. Evening

Tap Sync before you close. Record each FSE’s handover, and Cash on Hand goes up.

  4. Month-end

Download sales, receipts and purchases as Excel for your accountant. Share ledgers with the retailers who owe the most.

Why it’s different

Built for telecom distribution, not for any shop.

Excel sheets, notebooks and WhatsApp can’t follow operator sales, FSE cash or FSE stock. Generic khata and billing apps are made for any shop, and accounting software is made for a desk. aCashbook is built around LAPU, auto-refill, FSE cash and FSE stock, with Excel downloads for your accountant.

  • Operator reports

Before: Re-typed into Excel every evening, and easy to enter twice.

With aCashbook: Pick the dates, tap Sync and read a one-line result. Anything already stored is skipped.

  • Retailer dues

Before: Spread across notebooks, WhatsApp chats and Excel.

With aCashbook: A running balance for every retailer, highest first, with a ledger to share.

  • FSE cash

Before: Unknown until there’s a shortfall. Handovers are verbal.

With aCashbook: Every FSE’s cash on one list. Numbered handovers, and reversals need a reason.

  • Bank payments

Before: “I paid into your bank” can’t be checked at the time.

With aCashbook: Payments wait in Pending Bank until you accept them. A rejection puts the due back.

  • SIM and device stock

Before: Counted on paper or from memory.

With aCashbook: The available quantity of every product, and what each FSE is holding.

  • Invoices

Before: Handwritten or typed in Excel, with GST worked out by hand.

With aCashbook: The GST split done for you, a PDF tax invoice, and automatic numbering.

  • Changes to entries

Before: Changed or deleted without a trace.

With aCashbook: Saved sales are locked, reasons are required, and every entry shows who made it.

FAQ

Questions, answered.

What is aCashbook?

A cash book, ledger, billing and stock app built for telecom distributors in India. It keeps your operator sales, retailer dues, FSE cash, bank payments and stock in one live book, on your Android phone and in a web browser on your computer.

Which operators does it work with?

One-tap Sync is available for most major operators, and what it brings in depends on your operator. Tell us yours when you request a demo, and we’ll confirm what Sync brings in for you.

If Sync isn’t available for your operator, you can still upload your sales and receipts from Excel with our templates, and run the rest of your business in aCashbook.

Does Sync run on its own?

No. You decide when to sync. Pick the dates, up to 15 days per run, and tap Sync. It takes a couple of minutes. Anything already in your books is skipped, so syncing the same dates twice never counts anything twice.

The owner starts a sync, and everyone in the team sees the results.

What if a sync can’t finish?

You see the reason on screen. Run it again for the same dates; nothing is counted twice. You can also upload your operator’s report as an Excel file instead.

How do I get started? Do I need an account?

Yes, you need an account, and our team sets it up for you. There’s no sign-up form. Request a demo by email, and we’ll show you the app, register your business and help you bring in your lists.

How do I sign in?

Use the mobile number your account was set up with, and enter the OTP you receive. Sign in on the Android app, or here in your web browser: Sign in to aCashbook.

Does it work on my phone and my computer?

Yes. On phones it’s an Android app, from Google Play. On computers it runs in a web browser. It’s the same account with the same live figures everywhere. aCashbook needs an internet connection.

Can I bring in my existing records?

Yes. Download our sample Excel templates for products, retailers, vendors, users, sales, receipts, purchases and payments, fill them in and upload them. Every row gets a result, nothing is added twice, and a wrong upload can be removed in one step. Opening stock and opening cash go in as entries.

Does aCashbook handle money?

No. It records payments by cash, UPI or bank, and the money moves through your bank or UPI as usual. aCashbook isn’t a payment app or a wallet, it doesn’t file GST, and it doesn’t replace your accountant or professional tax advice.
